To ensure that Literacy Aotearoa complies with the Privacy Act with respect to the personal information of people who interact with us.

2. Application/Scope

This privacy policy and related procedures applies to all information we collect from individuals - including via websites, emails, forms, phone calls, and personal conversations.

3. Policy

Consistent with the provisions of the Privacy Act and other legislation, learners have a right to privacy over their personal information held by Literacy Aotearoa.

To achieve this:

Literacy Aotearoa will normally collect personal information from you directly and only for purposes connected with a function or activity of Literacy Aotearoa;

Literacy Aotearoa will take all reasonable steps to ensure the personal information it holds about you is protected against loss, access, use or modification other than with the authority of Literacy Aotearoa;

Personal information will only be held for as long as it is relevant for the purposes indicated and will only be used for the purposes indicated.

We will never sell or distribute your information with third parties (unless required to by law);

We may use contact details supplied in response to a promotional advertisement to make direct contact with you to discuss learning options – we will always indicate this possibility in the promotion material.

4. Process

Literacy Aotearoa staff will comply with our privacy policy processes to maintain information privacy.

4.1 Collection of information

Literacy Aotearoa will ensure that we seek only such information as is directly related to the purpose/s of collection.

Literacy Aotearoa will ensure that people providing personal information are given clear explanation of what is being collected and why.

4.2 Storage of Information

Personal information in hard copy form is securely stored in locked files, with access limited to authorised staff;

Electronic files containing personal information are stored in limited access folders.

4.3 Use of information

Personal information collected by Literacy Aotearoa will be used only for the (stated) purpose for which it was gathered.

4.4 Access to information

Anyone whose personal information is held by Literacy Aotearoa may request access to that information, and request amendments where the information is incorrect;

4.5 Disclosure of information

Personal information may be disclosed only with the consent of the person to whom it belongs; UNLESS

A formal request for personal information is made in connection with legal exceptions listed in the Privacy Act.

4.6 Retention of information

Literacy Aotearoa will retain personal information only for as long as its purpose is still active;

When the purpose for which the information was collected is no longer valid, personal information will be carefully disposed of, according to the Archives procedure.
